Workflow management rules are the set of procedures and guidelines that define the way workflows are completed. They specify which steps can be completed and when. This allows the workflow to follow the most efficient path. When a business automates its most routine and predictable tasks using the proper workflow that allows employees to focus on strategic projects.

Workflows can be designed in different formats to fit any project. A sequential workflow, for instance one that is sequential, means that the next task cannot begin until the previous one has been completed. This is a common workflow in expense management, where employees are reimbursed by receipts and authorization for payment.

A state-machine workflow consists of a series of activities on a work product in a specific order, with every action moving the work product into different allowed states such as “being written” or “completed”. State-machine workflows may also have additional rules in place – like if-this-then-that conditional logic – that configure the process’s path.

Parallel workflows allow multiple steps to be carried out simultaneously to achieve a goal, like processing and mailing a garment to a client after the company confirms that it’s available. All of these can be automated by an application for workflow.

It’s simple to use the appropriate workflow management software to create and manage a well-structured process to optimize effectiveness, accountability and productivity. By streamlining communication, and ensuring that everyone in the team is aware of their roles and responsibilities, and are aware of their responsibilities, managers can avoid the confusion that can lead to delays in projects and deadlines.
